Business Operations Manager

Responsible for overseeing administrative staff and activities for a growing structural engineering firm with approximately 50 personnel.

Key responsibilities include, but are not limited to:

  • Reporting to and supporting Principals and upper management.
  • Leading and training the administrative team.
  • Maintaining and improving office procedures.
  • Supervising and reviewing accounting functions, including accounts payable, accounts receivable, payroll, account reconciliations, and preparing books for tax filings.
  • Interacting with third-party bookkeepers, CPAs, and other consultants.
  • Processing individual Professional Engineer license renewals, firm license renewals, filing Annual Reports and Certificates of Authority, and assisting the Accountant with business tax filings for all licensed states (currently maintaining licensure in 49 states).
  • Liaising with Liability and Workers’ Compensation Insurance brokers.
  • Coordinating the annual Professional Liability/General Liability insurance renewal process.
  • Liaising with health, dental, and other insurance brokers to recommend and maintain employee insurance benefits.
  • Collaborating with HR to develop and maintain procedures while ensuring compliance with State/Federal labor laws.
  • Interacting with the Director of Business Development to coordinate business development and marketing activities, and assisting with the production of marketing materials.

Qualifications:

  • A leader with a servant attitude, able to focus on supporting and empowering their team while achieving goals; a collaborative team player who thrives in dynamic environments with evolving priorities.
  • A minimum of 10+ years of experience in business administration within design firms focused on the construction industry (preferably engineering or architectural firms).
  • BS, BBA, or BA in Business Administration, with strong accounting and finance skills required.
  • Strong working knowledge of Ajera (preferred) or Deltek.
  • Excellent written and verbal communication skills.

Salary Range:

  • $75,000-$115,000 per year (Exempt)
